Automated order entry. How it really works.

Retyping orders from PDF into the ERP is one of the most repetitive jobs in any company. Here is how AI transforms it, step by step, without taking control away from the team.

The problem

Orders arrive in different formats: PDFs attached to emails, text in the body of the message, customer portals. Someone reads them, looks up the right codes and retypes them into the ERP. It is slow, and it is easy to get a code or a quantity wrong.

How AI solves it

  1. Reading: the AI reads the order whatever the format and recognises customer, items, quantities, prices and dates.
  2. Matching: the data is compared with the ERP master data; the customer's codes are translated into yours.
  3. Checking: price differences, unknown items or unusual quantities are highlighted.
  4. Approval: a person confirms with one click, or corrects the exceptions.
  5. Recording: the order goes into the ERP, with a log of every step.

What you need to get started

  • A few examples of real orders, in the formats you receive.
  • Access to customer and item master data.
  • A way to write to the ERP: an existing connection or one to be built.
  • A point of contact who knows the process.

What if the orders are confidential?

You can use an AI model that runs on your own servers, without sending documents outside. That is what we did in IntraPilot: orders read locally, approved by a person and only then recorded.

How much time can you get back?

It depends on how many orders you receive and how long each one takes today. Enter your numbers in the calculator for a first estimate, to be checked against the real process.
